This Privacy Policy applies to Our Chapter, our website, wedding planning platform, public wedding websites, RSVP experiences, guest management tools, seating tools, budget tools, check-in features, communications and related services.

In this Privacy Policy, "Our Chapter", "we", "us" and "our" refer to Our Chapter.

Our Chapter is currently operating under the service name "Our Chapter" while its Singapore business registration is being finalised. Once the legal entity and UEN are available, this Privacy Policy will be updated accordingly.

This Privacy Policy should be read together with our Terms of Service and Cookies Policy.

Who this policy applies to

This Privacy Policy may apply to several different types of individuals who interact with Our Chapter.

  • Couples who create or use an Our Chapter wedding workspace.
  • Guests whose information is added to a wedding workspace by a couple or authorised user.
  • Guests who directly submit an RSVP, check in, or otherwise interact with an Our Chapter wedding experience.
  • Visitors who browse our marketing website or public wedding websites.
  • Individuals who contact Our Chapter for support, enquiries, feedback or privacy-related matters.

Our role when handling wedding guest data

Couples may upload, create or manage information about their wedding guests through Our Chapter. In these situations, the couple may determine why and how that guest information is used for their wedding, and Our Chapter may process that information in order to provide the platform and services requested by the couple.

In other situations, such as when a guest directly submits information through an RSVP form, contacts Our Chapter, or interacts directly with a feature we operate, Our Chapter may also collect and use that information for our own operational, security, administrative and legal purposes.

Couples are responsible for ensuring that they have an appropriate basis to provide guest personal data to Our Chapter and to use that data through the platform.

The exact information we collect depends on how you interact with Our Chapter and which features are used.

Account and profile information

Guests should avoid submitting medical or other highly sensitive information unless it is reasonably necessary for the couple or venue to accommodate their needs.

  • Directly from you when you create an account, submit an RSVP, contact us or use the platform.
  • From a couple or authorised user who adds guest information to their wedding workspace.
  • Through automated technical processes required to authenticate users, maintain sessions, secure the service and diagnose errors.
  • From service providers that support the operation of Our Chapter.

How we use personal data

We may collect, use or process personal data where reasonably necessary to provide and operate Our Chapter, including for the following purposes:

  • Creating, authenticating and managing accounts.
  • Creating and operating wedding workspaces.
  • Managing guests and RSVP responses.
  • Displaying and operating public wedding websites.
  • Managing seating plans, tables and seat assignments.
  • Supporting QR-based and other wedding-day check-in experiences.
  • Managing wedding budgets and planning information.
  • Sending transactional, administrative and service communications.
  • Providing customer support.
  • Preventing fraud, misuse, abuse and unauthorised access.
  • Maintaining, debugging, securing and improving the platform.
  • Complying with applicable laws, lawful requests and regulatory obligations.

Public wedding websites

Couples may create wedding websites through Our Chapter. These wedding websites may be publicly accessible to anyone who has or discovers the relevant URL.

Couples are responsible for deciding what information they publish through their wedding website.

Couples should not publish private, confidential or sensitive information that they do not want publicly accessible.

Our Chapter does not guarantee that a publicly accessible wedding website will remain private merely because its URL has only been shared with selected guests.

When we may disclose personal data

We do not sell personal data.

We may disclose or make personal data available to third parties where reasonably necessary to operate Our Chapter or comply with our obligations.

Service providers

  • Vercel for hosting and infrastructure.
  • Supabase for database, authentication and related backend services.
  • Resend for transactional email delivery where used.
  • Other vendors that may later be engaged to provide hosting, communications, security, support, payment or infrastructure services.

Couples and authorised users

  • Guest information and RSVP information may be made available to the couple and authorised users of the relevant wedding workspace.
  • Check-in, seating and related wedding-day information may be made available to authorised persons helping operate the wedding.

Legal and safety reasons

  • Where required by applicable law or legal process.
  • Where reasonably necessary to protect the rights, safety or security of Our Chapter, users, guests or others.
  • Where necessary to investigate suspected fraud, abuse or security incidents.

Business changes

  • If Our Chapter is incorporated, restructured, merged, acquired, sold or transfers part of its operations, relevant information may be transferred as part of that process subject to applicable legal requirements.

International processing and data transfers

Some of the service providers used to operate Our Chapter may process or store information outside Singapore.

Where personal data is transferred outside Singapore, we will take reasonable steps required under applicable data protection law to ensure that the transferred personal data receives a standard of protection comparable to that provided under Singapore law.

How long we keep personal data

We retain personal data only for as long as it is reasonably necessary for the purposes for which it was collected, for legitimate business or legal purposes, or as otherwise permitted or required by law.

Retention periods may differ depending on the type of data, how the service is being used and whether the relevant wedding workspace remains active.

At present, account or wedding deletion actions may result in associated information being permanently removed without a recovery period.

If Our Chapter later introduces a deletion grace period, recovery window, archival mechanism or updated retention process, we may update this Privacy Policy and the relevant product interface accordingly.

How we protect personal data

We take reasonable administrative, technical and organisational measures to protect personal data against unauthorised access, collection, use, disclosure, copying, modification, disposal or similar risks.

These measures may include authentication controls, access controls, database permissions, security configuration, restricted administrative access, monitoring and other measures appropriate to the nature of the service.

No online system can be made completely secure. Users are also responsible for protecting their account credentials and should notify us promptly if they suspect unauthorised access.

Account registration and confirmation codes

Couple account registration may require an invitation, confirmation or access code provided or approved by the Our Chapter team.

We may process information related to those codes and registration requests in order to verify access, prevent misuse and manage onboarding.

Access and correction requests

Subject to applicable law, individuals may request access to certain personal data held about them and information about how that data has been used or disclosed.

Individuals may also request correction of personal data that is inaccurate or incomplete.

We may need to verify your identity and obtain sufficient information to locate the relevant records before responding to a request.

Withdrawal of consent and objections

Where Our Chapter relies on consent to collect, use or disclose personal data, you may request to withdraw that consent by contacting us.

Withdrawal of consent may affect our ability to provide certain features or services. For example, withdrawing consent for information that is necessary to operate an account or RSVP may mean that the relevant service can no longer be provided.

Withdrawal does not affect processing that was lawful before the withdrawal or processing that is otherwise permitted or required by law.

Deletion and retention review requests

Users may request deletion of their account or certain personal data, subject to applicable legal, contractual, security and operational requirements.

Some information may need to be retained where reasonably necessary for legal, regulatory, fraud-prevention, dispute-resolution or security purposes.

Guests who want information removed from a wedding workspace may also need to contact the relevant couple because the couple may control or manage that guest record.

Marketing communications

Our Chapter may introduce optional marketing communications, including product updates, wedding planning content, promotions or new service announcements.

Where required, marketing communications will be sent based on an appropriate consent or legal basis and will include a reasonable method to unsubscribe or withdraw consent.

Service-related communications such as security notices, account messages, RSVP confirmations or important operational updates are separate from optional marketing communications.

Cookies and similar technologies

Our Chapter may use cookies, local storage and similar technologies where necessary to authenticate users, maintain sessions, remember settings, secure the platform and provide essential functionality.

We do not currently use third-party advertising or marketing analytics tools.

If we introduce analytics, advertising pixels or similar technologies in the future, we may update our practices, Cookie Policy and consent controls before or when those technologies are introduced.

Children and younger guests

Our Chapter accounts are intended for individuals who are capable of entering into the relevant agreement to use the service.

Wedding guest lists may include children or younger guests where information is provided by their parent, guardian, family member or the couple for legitimate wedding planning purposes.

Couples should avoid collecting unnecessary personal information about children through custom RSVP questions.

Data breaches and security incidents

If we become aware of a personal data breach, we will assess the incident and take steps we consider reasonably appropriate to contain, investigate and remediate it.

Where notification is required under applicable law, we will notify the relevant authority and affected individuals in accordance with the applicable requirements.

Third-party websites and services

Our Chapter may contain links to third-party websites, venues, vendors, social media profiles or other services.

We are not responsible for the privacy practices of third parties that operate independently from Our Chapter.

Users should review the privacy policies of those services before providing personal data to them.
